WASLA Event Cancellation and Refund Policy

Before you register for the WASLA event as attendee and/or exhibitor, it’s important to understand the overall WASLA cancellation and refund policies. By registering, you are reserving a spot for an event that requires a count of attendees. The count of attendance directly affects room size allocations, exhibit layouts, fire code permits, catering, printing, hospitality charges, volunteer staffing, and administration costs. The policy applies to all WASLA events unless otherwise noted or modified in the corresponding event registration materials.

Submission of your registration and/or purchase of exhibit space acknowledges acceptance of the WASLA cancellation and refund policy, therefore please read all event information carefully.

Cancellation or Nonattendance:

  1. Registrants who do not show up for the event and who do not contact WASLA prior to the start of the event automatically forfeit all fees paid, unless the inability to contact WASLA was due to an Unavoidable Emergency (see below).
  2. Cancellations made prior to the start of the event will be refunded, less a $25 processing fee for attendees or 25% processing fee for exhibitors, within the refund deadline detailed in the registration for the event. If no time frame is given, the default refund deadline will be within 5 calendar days before the start of the event.
  3. No refund will be given to cancellations received less than the refund deadline or the default of 5 calendar days before the start of the event, unless due to an Unavoidable Emergency (see below), in which case the refund minus processing fee applies.
  4. All cancellations and refund requests must be submitted via email to [email protected].

Transfer of Attendance Registration:

  1. If you are unable to attend the event for any reason, you may transfer your registration to someone else who is at the same ASLA membership level to attend in your place at no cost (for instance Full Member to Full Member; Student Member to Student Member, and so on).
  2. Please note that dietary restrictions of the transferee may potentially not be accommodated at short notice nor the production of accurate name tags or similar preprinted materials.
  3. Transfers to someone at a higher membership level will incur a $25 processing fee plus the difference in fee cost.
  4. Transfers to someone at a lower membership level will be refunded the difference in fee cost minus a $25 processing fee.

Cancellation or Nonattendance due to Unavoidable Emergency:

  1. Cancellation or nonattendance due to an unavoidable emergency that occurred within 14-days (2 weeks) prior to the start of the event is eligible for a refund.
  2. Unavoidable Emergency includes a family death or illness, medical issue, or similar extraordinary circumstance.
  3. In this instance, the time-stamped or postmarked refund deadline to receive your emailed or written request is within 14-days (2 weeks) after the event date.
  4. Regretfully, no considerations can be made after refund deadline period.
  5. All pre-paid monies will be refunded, less a $25 processing fee for attendees or 25% processing fee for exhibitors.

Event Cancellation due to Unforeseeable Circumstances:

In the case that the WASLA event is prevented from being held as advertised, as a result of any cause beyond WASLA’s control, WASLA shall be relieved of its obligations and liabilities for as long as fulfillment is prevented. Causes include but are not limited to natural catastrophe, acts of war, acts of terrorism, airline flight cancellations, strikes, lock-outs, flood, severe weather conditions, or failure of third parties to deliver goods or services. WASLA will make every effort to reschedule the event as soon as is feasible.
